Refund & Cancellation Policy

1 Overview

At Khalijona, we understand that plans can change. Our Refund and Cancellation Policy is designed to be fair to both our customers and our operations. This policy applies to all reservations made through khalijona.online, by phone, email, or any other channel.

2 Cancellation Policy

Cancellations must be communicated to Khalijona in writing via email to contact@khalijona.online or via WhatsApp/phone at +966 57 384 3623. The time of cancellation is recorded as the time we receive and acknowledge your cancellation request.

3 Refund Process

Once a cancellation is approved and a refund is determined to be due, Khalijona will process the refund as follows:

  • Credit/Debit Card Payments: Refunds are processed within 5–10 business days. The actual arrival of funds in your account may take an additional 3–7 business days depending on your bank.
  • Bank Transfer Payments: Refunds are processed within 7–14 business days to the originating account.
  • Security Deposit: Refunded within 3–5 business days after the vehicle is returned and inspected.

Khalijona will send a confirmation email once a refund has been initiated. All refunds are returned to the original payment method. We do not issue cash refunds for card payments.

4 Modifications to Reservations

You may request to modify your reservation (change dates, vehicle, or pickup location) at any time, subject to availability. Modifications are treated as follows:

  • Modifications made 48+ hours before pickup are accepted at no charge (price differences may apply)
  • Modifications made less than 48 hours before pickup may incur an administrative fee of SAR 150
  • Reducing the rental duration after pickup is not eligible for a refund of unused days
  • Extending the rental duration is subject to availability and will be charged at the standard daily rate

All modification requests must be submitted in writing to contact@khalijona.online and are subject to Khalijona's confirmation.

5 Early Return Policy

If you return a vehicle earlier than the agreed return date, no refund will be provided for the unused rental days. We strongly recommend planning your rental period carefully before confirming your booking.

In exceptional circumstances (e.g., medical emergency documented by a hospital certificate), Khalijona may, at its sole discretion, consider a partial credit for a future rental.

6 Khalijona-Initiated Cancellations

In the rare event that Khalijona must cancel a confirmed reservation (e.g., due to force majeure, vehicle unavailability, or circumstances beyond our control), we will:

  • Notify you as promptly as possible via email and phone
  • Offer an alternative vehicle of equal or greater value at no additional charge, if available
  • If no suitable alternative is available, issue a full refund of all amounts paid, including any deposit, within 5 business days

Khalijona's liability in such cases is limited to the full refund of payments made. We shall not be liable for any additional expenses, losses, or damages incurred as a result of the cancellation.

7 Security Deposit

A refundable security deposit is required for all rentals. The amount varies based on the vehicle category:

  • Standard Luxury: SAR 2,000 – SAR 5,000
  • Premium / Ultra Luxury: SAR 5,000 – SAR 10,000
  • Supercar / Exotic: SAR 10,000 – SAR 20,000

The security deposit is fully refundable within 3–5 business days of vehicle return, provided that:

  • The vehicle is returned in the same condition it was received
  • There are no outstanding traffic violations, fines, or tolls
  • The vehicle is returned with a full tank of fuel
  • No unauthorized accessories, modifications, or damage are identified

Khalijona reserves the right to deduct the cost of any damage, cleaning fees, or outstanding charges from the security deposit before releasing the balance.

8 Non-Refundable Items

The following charges are non-refundable under any circumstances:

  • Delivery and collection fees once the vehicle has been dispatched
  • Additional driver fees once added to the agreement
  • Deep-cleaning fees assessed for smoking or pet-related incidents
  • Traffic violation fines or administrative fees for violations incurred during the rental period
  • Fuel charges for returned vehicles with less than a full tank

9 Disputes

If you believe a charge or refund decision is incorrect, please contact us within 14 days of the rental end date at contact@khalijona.online. Include your reservation number, the nature of your dispute, and any supporting documentation.

We are committed to resolving all disputes fairly and promptly. Unresolved disputes are subject to the jurisdiction of the courts of Riyadh, Saudi Arabia, in accordance with our Terms of Service.
